Our partner is looking for an Office Support Dispatch Specialist (Night Shift) based in the United States. As an Office Support Dispatch Specialist, you will coordinate non-emergency medical transportation and help ensure patients receive timely, well-organized transport services. Working closely with EMS leadership and operational teams, you’ll manage requests, dispatch resources, and monitor ground assets throughout the transport process. You’ll also provide essential administrative support across documentation, logistics, supplies, billing compliance, and operational records. The role combines dispatch coordination, customer service, data management, and healthcare operations in a fast-moving environment. Your attention to detail will help maintain accurate documentation, regulatory compliance, and efficient use of transportation resources. You’ll collaborate with internal teams, healthcare facilities, crews, and mutual aid agencies to resolve transportation needs effectively. This is a full-time, non-exempt position requiring reliability, organization, sound judgment, and the ability to work independently during the night shift. Process and coordinate requests for non-emergency patient transportation, ensuring appropriate resources are assigned to meet patient and facility needs. Review available information to help establish medical necessity and coordinate required pre-approvals when applicable. Assist healthcare facilities and providers with Physician Certification Statement (PCS) completion and compliance requirements. Use Computer Aided Dispatch (CAD) systems to accurately enter call information, assign assets, and manage transport activity efficiently. Monitor the location of ground assets to maintain accurate tracking and ensure transportation resources are available when needed. Coordinate with mutual aid agencies and other operational partners to address transport requirements and maintain service continuity. Answer incoming calls and provide professional, responsive, and compassionate customer service to patients, facilities, crews, and other stakeholders. Ensure transportation paperwork, crew feedback, and related documentation are completed accurately and in accordance with established processes. Provide logistics support, including restocking and maintaining operational assets and supplies. Assist with data entry, filing, record maintenance, and other administrative activities that keep the operation organized and efficient. Support patient care documentation, operational logistics, supply chain activities, facilities needs, and other administrative functions as required. Follow standardized call intake and dispatch procedures while exercising sound judgment when managing complex or time-sensitive situations. Requirements High school diploma or equivalent. Valid driver's license. Previous experience as a dispatcher is strongly preferred, with two or more years of dispatch experience desirable. Previous experience as a medical provider, such as EMT, Paramedic, Clinical Associate, Medical Assistant, or Registered Nurse, is preferred. Experience working within the EMS industry is highly desirable. Certified Dispatcher credentials are preferred. Experience using Computer Aided Dispatch systems, particularly platforms such as Zoll and/or Zuercher, is advantageous. Knowledge or experience in EMS billing, coding, and compliance is preferred. Strong verbal and written communication skills, with the ability to interact effectively with healthcare facilities, crews, patients, and operational partners. Comfortable using computer systems and technology required for dispatch, documentation, communication, and administrative responsibilities.
