Appointment Setter & Administrative Assistant (Medical Background Preferred) Position Overview We are seeking a proactive and professional Appointment Setter / Administrative Assistant to support a growing mobile phlebotomy and concierge healthcare business. This role will serve as the voice of the company, helping expand brand awareness, generate new business opportunities, build partnerships, and support administrative operations. The ideal candidate will have excellent communication skills, experience with appointment setting, and a healthcare or medical background that enables them to confidently discuss our services with healthcare providers, laboratories, and potential clients. This is a part-time remote position with opportunities to grow alongside the company. About the Company We are a mobile phlebotomy business focused on delivering convenient, concierge-style blood collection services directly to patients. Our mission is to provide accessible and professional specimen collection services while partnering with healthcare providers, concierge medical practices, and laboratories. Key Responsibilities Appointment Setting & Business Development Conduct outbound calls, emails, and follow-ups to generate new business opportunities. Introduce company services to healthcare providers, concierge medical practices, and wellness organizations. Schedule meetings and consultations with prospective clients and partners. Perform prospecting and lead generation activities. Maintain accurate records of outreach efforts and results. Follow up with potential clients and referral sources. Partnership Development Assist in building relationships with: Concierge medical practices Primary care providers Specialty healthcare providers Diagnostic laboratories Specialty laboratories Support networking and outreach initiatives to increase brand awareness. Administrative Support Manage calendars and appointment scheduling. Organize and maintain client records and CRM data. Respond to inquiries from potential clients and partners. Assist with email management and follow-up communications. Prepare reports on outreach activities and appointment metrics. Customer Communication Serve as a professional representative of the company. Explain services clearly and accurately to prospective clients and healthcare professionals. Provide exceptional customer service and maintain a positive company image. Required Qualifications Previous experience as an Appointment Setter, Virtual Assistant, Administrative Assistant, or similar role. Strong verbal and written English communication skills. Excellent organizational and time-management abilities. Comfortable making outbound calls and conducting professional outreach. Ability to work independently with minimal supervision. Experience using CRM systems, Google Workspace, Microsoft Office, or similar tools. Preferred Qualifications Medical, nursing, healthcare, phlebotomy, medical assistant, or related healthcare background. Experience working in healthcare administration, medical offices, laboratories, or concierge healthcare services. Understanding of laboratory testing services and healthcare terminology. Prior experience supporting startup businesses is a plus.
